Privacy Policy

How Hire2Shine protects your personal data

Effective from 1 March 2025

This Privacy Policy explains how Hire2Shine (“we”, “us” or “our”) collects, uses and safeguards your personal information when you enquire about or book our mobile valeting services. We are committed to operating in line with UK data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Personal data we collect

We only collect information needed to deliver and manage your valet appointment. This may include:

  • Name and contact details such as phone number and email address.
  • Vehicle information, including make, model, registration and condition notes you choose to share.
  • Appointment logistics such as service address, parking instructions and preferred dates.
  • Payment confirmation details when settling invoices via bank transfer or card.
  • Any feedback, reviews or testimonials you provide about our services.

How and why we use your data

We process your information to:

  • Respond to enquiries and confirm booking availability.
  • Plan each valet, ensuring we bring the correct products and equipment to your location.
  • Send appointment reminders, updates and follow-up communications.
  • Issue invoices and payment receipts for completed services.
  • Maintain internal records that help us monitor service quality and client satisfaction.

Our lawful bases for processing include the performance of a contract, compliance with legal obligations, and our legitimate interest in running and improving a professional valeting business. Where consent is required—for example, to feature a testimonial—we will request it separately and you can withdraw it at any time.

Sharing your personal data

We do not sell your information. We only share data with trusted providers when necessary to deliver our services—for example, secure payment processors or cloud-based scheduling tools. Each provider is contractually required to keep your information confidential and to comply with UK data protection law. We may also disclose data if required to do so by law or to protect our legal rights.

Data storage and retention

We store client information on password-protected systems with access limited to authorised team members. Personal data linked to enquiries is retained for up to 12 months, while booking records and invoices are stored for six years to meet HMRC requirements. When data is no longer needed, it is securely deleted or anonymised.

Your rights

Under the UK GDPR you have rights to access, correct, delete or restrict the use of your personal data. You can also object to certain processing or request portability of information you have provided. To exercise these rights, please contact us using the details below. We will respond within one month of receiving your request.

Cookies and analytics

Our website currently uses minimal cookies limited to essential functionality. If we introduce optional analytics or marketing cookies in the future, we will update this policy and request your consent where required.
